Board of Directors’ Meeting
September 8, 2025
Board members present: Sarah Wise, president; Larry Sagstetter, vice president; Margie St. Jacques, treasurer; Jill Griffith, secretary; Ann McNattin, member at large.
Also present: Mike Severson, building manager.
- Call to Order: The meeting was called to order at 6:28 p.m.
- Secretary’s Report: Moved, seconded, and voted to approve the minutes for the August 2025 board meeting as written.
- Treasurer’s Report:
- For August 2025, the opening balance was $258,179.67, and the closing balance was $153,531.18. This represents a decrease from the opening balance of $104,648.49. As of the end of August, we had $22,781.01 in our operating checking account, and $87,433.90 in reserve accounts. (Note: The reserve accounts are one operating CD with North American Bank, a money market account with Premier Bank, a Premier CD, an NAB CD, a savings account with Royal Credit Union, and three CDs with Royal Credit Union.)
- Moved, seconded, and voted to approve the Treasurer’s Report.
- Committee Reports:
- Welcome Committee: Family members of current residents have joined the Atrium community in units 212 and 213. We warmly welcome them to the community.
- Recreation Committee: A luncheon party is planned for Sunday 9/14 at noon. Please RSVP and make payment with the envelopes on the bulletin boards and return them to the suggestion box. RSVP and payment by Saturday are greatly appreciated for planning purposes. It is also possible to make payment on Sunday at the luncheon.
- Management Report:
- Skylights: The final cleanup remains on one skylight. The final payment is still being withheld from the vendor until satisfactory cleanup is complete.
- Rooftop AC Unit: The 4th unit has not been functioning well for some time, and we have essentially been operating with 3 rooftop units even while the 4th unit was still on the roof. We are waiting for the proposals to compare fixing it vs. replacing it. The impact on individual AC units is negligible as cooling the common areas is separate from cooling individual units.
- Insurance Renewal: The insurance for this term has been renewed with Auto Owners. Additional options may be available for next year’s renewal.
- Concrete Proposal: The proposal from Metro Concrete Raising was unanimously approved by the Board. The work to be done consists of raising uneven sections of the sidewalks and filling the hole by the garage service door.
- Elevators: Our current service company, Metro Elevator, has been sold to a larger company. The service and ability to contact Metro Elevator have greatly diminished. All City Elevator was unanimously approved by the Board as the new elevator service vendor.
- Old Business:
- Benches: Replacement of the benches out front has been tabled until next year. In the meantime, the current benches will be power washed.
- Code of Conduct: Please remember that we are residents of a multi-unit building and that behaviors can impact others potentially more so than in single family residence living. Residents, please be mindful, particularly during times of warm weather when neighbors may have their windows open, that loud voices, loud televisions and loud music can be disruptive to neighbors both inside the building and for those enjoying the weather outside.
- Wall Repair: There are 3 proposals for repair of the common area interior walls. They are posted on the bulletin board. The Board would appreciate feedback on the 3 options via the suggestion box by September 26th.
- Common Area Lighting: An electrician needs to look at the timers to determine how to make the light switches functional later in the evenings.
- Garden Beds: The Board needs assistance from resident gardeners to determine possible options for garden bed replacement in the spring. Those interested in using the gardening plots in the future are encouraged to compare notes amongst themselves and present to the Board their proposals for update/rehabilitation of our garden plots by February 1, 2026.
- Republic Bins: The option to swap one of the larger recycling bins for a smaller one is being explored.
- Carpet Cleaning: More to come regarding the dates for fall carpet cleaning. Homeowners will again have the option to have carpets cleaned in their units.
- New Business:
- AC/Heat Monitoring (for common areas): As the weather fluctuates at this time of year, the AC and heating units in the common areas will be adjusted accordingly based on the weather vs. following a calendar schedule for adjustment.
- Building Keys: There was discussion about a common location for building keys that Board members would have access to.
- Non-owner residents: It is encouraged to let the Board know when there are guests staying for extended periods of time for communication purposes. For example, this summer when the parking lot needed to be blocked off earlier than expected, not all the vehicles in the lot were recognized.
- Items left in common areas: Please remember to remove personal items from common areas within a reasonable amount of time.
- Xylem Planting: Pricing is to come for new plantings in the rain garden now that the invasives have been treated.
- Trees: City of Shoreview is to plant 10 trees on the property this fall.
- Custodian Ad: The search continues for a handyperson available for our needs and time.
- Rules and Regulations: Tabled for now and may be updated in the future as the last update was in 2021.
- Homeowners’ Questions and Comments: No notes were in the suggestion box this month.
- The meeting was adjourned at 8:35 p.m.
- The next Board Meeting will be on Monday, October 13th at 6:30 p.m. in the Activity Room. Homeowners are invited to attend.
