Special Board of Directors’ Meeting
Wednesday October 5, 2022
Board members present: Sarah Wise, president; Larry Sagstetter, vice president; Margie St. Jacques, treasurer; Dottie Olson; Hank French, secretary. Also present: Mike Severson, building manager.
The meeting was called to order at 6:27.
I. The meeting was held at the request of Board President Sarah Wise to discuss the work of the Plant Committee.
II. The following actions were taken:
a. Voted to accept the Plant Committee’s proposal to: (1) purchase through Lyndale Plant Services 3 artificial 4-foot Phoenix Palm Trees at $108.00 each and (2) purchase 6 artificial 36-inch Cattail Grasses at $31.80 each. Total $793.50 plus tax. (Includes shipping charge of $128.70 and installation charge of $150.)
b. Voted to accept the Plant Committee’s proposal to lease from Lyndale Plant Services a Rhapis Palm for the center planter at an additional monthly cost of $12.00 on our maintenance/replacement lease agreement.
c. Voted to have Lyndale Plant Services provide us with four Jenny Craig plants and two Marginata Colorama plants to swap with some of the current plants in the center atrium area.
d. Voted to have Larry Sagstetter identify and purchase two quality artificial plants for the second and third floor center areas.
e. Voted that when the above actions have been completed, the Plant Committee will disband.
f. It was noted that owner donations to a “Plant Fund” to purchase the above (II. a.) artificial plants have reached $715.00 which comes close to covering the cost. If any other owners would like to donate to the Plant Fund to help make up the difference, please make out a check to “Victoria Village Plant Fund” and give it to Margie St. Jacques.
III. When the Plant Committee was formed, we were paying Lyndale $1192 per month to lease the Atrium Plants and maintain them. The Plant Committee was formed to find ways to lower this cost. By removing some live plants from all three floors and replacing some of them with artificial plants (which we will own and not lease) and some with new live plants, the committee was able to reduce our monthly payment to Lyndale by around $400 per month to $740.00 plus tax per month. It was moved, voted and approved to deposit all the money saved as a result of the Plant Committee’s work to the Association’s reserve fund beginning in October. This will add $4800 a year to the reserve fund.
