Board of Directors’ Meeting

May 12, 2025


Board members present: Sarah Wise, president; Larry Sagstetter, vice president; Margie St. Jacques, treasurer; Jill Griffith, secretary; Ann McNattin, member at large.


Also present: Mike Severson, building manager.


  1. Call to Order: The meeting was called to order at 6:37 p.m.
  2. Secretary’s Report: Moved, seconded, and voted to approve the minutes for the April 2025 board meeting as written.
  3. Treasurer’s Report: 
    1. For April 2025, the opening balance was $557,652.10, and the closing balance was $572,359.03. This represents an increase from the opening balance of $14,706.93. As of the end of April, we had $63,539.55 in our operating checking account, and $465,503.21 in reserve accounts. (Note: The reserve accounts are one operating CD with North American Bank, a money market account with Premier Bank, a Premier CD, an NAB CD, a savings account with Royal Credit Union, and three CDs with Royal Credit Union.) 
    2. Moved, seconded, and voted to approve the Treasurer’s Report.
  4. Committee Reports:
    1. Welcome Committee: No updates this month.
    2. Recreation Committee: There is a party on Friday, May 23, 2025, in the Atrium. The social hour begins at 5:30 p.m. with the lasagna dinner starting at 6 p.m. The cost is $10 per person, and please return RSVPs and payments to the Suggestion Box by May 19th.
  5. Management Report: 
    1. Skylights and Roofing: The roofing and skylight project is scheduled to begin on June 2nd, and is expected to take 3-6 weeks to complete, depending on the weather. Notices have been sent to homeowners about the project.




  1. Old Business: 
    1. Recycling Dumpster: The recycling dumpsters will replace the current carts in the garage. Timing is TBD as it’s now a commercial route that Republic needs to get on their schedule.
    2. Handy Man: Chuck Linn will be reviewing a list of projects to determine his availability and capacity to complete them.
    3. Garden Bed Replacement: The plan is to replace the beds in the fall. The Board would appreciate input from homeowners who have consistently used the garden plots as to what they would like to see for replacements. Please put ideas in the Suggestion Box for the Board to review.
    4. Smoking Amendment: The first version of the amendment did not pass as there were not enough approvals. To make changes to the HOA governing documents, 67% approval of all homeowners is needed. The updated ballots will be sent out to homeowners soon.
    5. Security Breach Follow-up: Mike will contact Schmidt Security for a bid for cameras and keyless entry for the stairwell doors in the garage. 
  2. New Business:
    1. Entry Door Damage: The outside door that sustained damage from a vendor is working for now. The door isn’t centered on its frame and catches on it. The Board requests that homeowners pay close attention to their vendors to try to prevent property damage and/or security breaches. Mike will contact the involved vendor regarding them returning the door to its previous functional condition. This one may be difficult to get compensation due to the age of the door.
    2. Budget Review: There was discussion about where in the budget funds will come from for repairing ceiling and wall water damage on the third floor after the roof and skylights are replaced. One possible expense to adjust could be foliage maintenance. The first step is to get an estimate of the cost to repair the damaged ceiling and wall areas. Mike will contact a consultant for recommendations to update/repair the needed wall and ceiling areas.
    3. Ridwell: Some items are accepted only on a rotating schedule and not with every Ridwell pickup. This may lead to certain items remaining in the workroom until they are available to be picked up by Ridwell.
    4. First Floor Lights: The plant lights and central Atrium hanging lights are on the same timer. To allow homeowners to have the central hanging lights on during later evening hours and not to disrupt other homeowners with bright plant lights shining into their units later into the evening, it was suggested to remove the central hanging lights from the timer and use the wall switches to turn those lights on and off as needed. Then the plant lights could be adjusted with the timer to shut off earlier in the evenings. Mike will contact an electrician for a quote on that adjustment.
    5. Stairwell and Garage Area Flooding: The homeowner with the washer that overflowed will cover that repair cost.
    6. The annual spring inspection of the grounds and exterior building was completed before the meeting. All went well with a few minor findings:
        1. Some of the rubber curbing along the rock beds needs to be replaced due to damage from lawn mowing equipment
        2. Shingles off the roof and will be replaced during roof project
        3. Dead shrubbery along a few bay windows
        4. Eastside Door – addressed above in the minutes
        5. Garden Beds – addressed above in the minutes
        6. Some plastic sections from windows blown off due to winds
  3. Homeowners’ Questions and Comments: 
    1. Metro Elevator: The technicians are to log their time when they are servicing the elevators.
    2. A homeowner took a photo of the sunset and two deer by the building’s front door. The Board approved an enlargement of the photo to be placed in the Activity Room. Sarah will advise the homeowner.
    3. Common area thermostats: The thermostats were changed to summer mode. In summer mode, the fan always runs while in winter mode the fan is on automatic and not always running.
    4. A homeowner wanted to replace lampshades on the first floor. Please place suggestions for dĂ©cor changes or updates in the Suggestion Box for the Board’s review. Sarah will contact the homeowner.
    5. Many AC units on the roof are already sitting on curbs, and the roofers expect to be able to work around most of them without moving them. The AC units’ line sets may need to be fixed if they get kinked during the roof work. Harvey Mechanical can look at splicing them for repair. Ultimately, the AC unit is the homeowner’s responsibility. However, given this situation, there may be several older AC units not working after the completion of the roof work. Keller can look this summer for bids for multiple AC replacements if the need arises for several homeowners to purchase and replace their ACs due to the roof work.    
  4. The meeting was adjourned at 8:04 p.m.
  5. The next Board Meeting will be on Monday, June 9th at 6:30 p.m. in the Activity Room. All Homeowners are invited to attend.
