Board of Directors’ Meeting
August 11, 2025
Board members present: Sarah Wise, president; Larry Sagstetter, vice president; Margie St. Jacques, treasurer; Jill Griffith, secretary; Ann McNattin, member at large.
11 homeowners were present.
Also present: Mike Severson, building manager.
- Call to Order: The meeting was called to order at 6:30 p.m.
- Secretary’s Report: Moved, seconded, and voted to approve the minutes for the July 2025 board meeting as written.
- Treasurer’s Report:
- For July 2025, the opening balance was $459,493.49, and the closing balance was $258,179.67. This represents a decrease from the opening balance of $201,313.82. As of the end of July, we had $54,891.35 in our operating checking account, and $159,972.05 in reserve accounts. (Note: The reserve accounts are one operating CD with North American Bank, a money market account with Premier Bank, a Premier CD, an NAB CD, a savings account with Royal Credit Union, and three CDs with Royal Credit Union.)
- Moved, seconded, and voted to approve the Treasurer’s Report.
- Committee Reports:
- Welcome Committee: No updates this month.
- Recreation Committee: A luncheon party is planned for 9/14 with more information to come.
- Management Report:
- Roofing/Skylights
- Lumber: The remaining lumber has been removed from the parking areas.
- Skylight Insulation Stain: The bubbles of insulation have been removed, but there are still visible stains. The HOA has withheld $10,000 to the skylight vendor pending full and satisfactory completion of the skylight project.
- Shingles: The missing shingles will be replaced now that the roof work is completed.
- Duct Work Removal: The extra ducts on the roof will be removed. Harvey Mechanical is working on the roof AC that isn’t operating. It has a crack in the coil, and TBD if it is repairable. This leaves 3 working AC units currently on the roof.
- Key Return: The keys loaned to vendors during this project have been returned except for the roofing company’s key. They need to have quick access in case of an issue with the roof.
- There was a water leak into a homeowner’s storage unit recently. The cause is under investigation.
- The Atrium’s insurance with Auto Owners is up for renewal soon, and the premium came in at $34,000. The renewal will be put out for bid with other insurance companies.
- Elevator Service: Due to ongoing issues with Metro Elevator’s lack of recording their service visits, Mike will investigate other elevator service providers.
- Old Business:
- Garden Plots: The current plots are beyond repair, and a solution needs to be found after the growing season is finished. This discussion is tabled until the September meeting.
- Shoreview Trees: The grant money is available again now. The board unanimously approved 5 trees and 5 evergreens to be planted for $50 each and watered for an additional $50 each.
- New Business:
- Elevator: Elevator #2 is bouncing, and Mike will contact Metro Elevator to check it out.
- AC Condensation Lines and Filters: Harvey Mechanical changes the filters on the roof AC units quarterly. There is more to come regarding consideration of regular maintenance for the AC condensation lines.
- Interior Walls: A quote will be coming for the repairs needed to the ceilings and interior walls of the Atrium. The goal is to start on the 3rd floor due to the severity of the damage. This discussion is tabled until the estimate is received.
- Annual Meeting: The Annual Meeting will be held on 12/8/2025 in the Activity Room.
- Homeowners’ Questions and Comments:
- A note was in the suggestion box requesting new outdoor benches at the front of the building. Mike will look into options and pricing.
- A light has been purchased for the car wash area and will be installed soon.
- Chuck has filled the hole in the foundation by the garage door with as much sand as possible, and mud jacking is needed to complete the job. A concrete company is needed for that and to also look at leveling the sidewalks that are marked with yellow.
- Xcel Meter Reading: Xcel Energy has not answered how they have previously entered the building to read meters before many meters in the building were changed to smart meters.
- With currently 3 AC units on the roof working, is that enough to control the humidity and condensation during the summer?
- Is it possible to form a committee and/or check with the current garden plot gardeners for the next options for the garden area?
- Will the HOA dues be lowered now that the roof and skylight project is complete? The 2026 budget will be reviewed at the November Meeting.
- Items Temporarily Left Outside Individual Homeowner Doors: The discussions during the meeting were called and are unresolved pending further Board discussion.
- Shoreview Press: Copies are provided by the city every two weeks through the rest of 2025.
- The meeting was adjourned at 7:45 p.m.
- The next Board Meeting will be on Monday, September 8th at 6:30 p.m. in the Activity Room. This will be a board only meeting.
