Victoria Village Atrium Association
Board of Directors’ Meeting
February 9, 2026
Board members present: Sarah Wise, president; Larry Sagstetter, vice president; Paxton Chase, treasurer; Jill Griffith, secretary; Margie St. Jacques, member at large.
Also present: Mike Severson, building manager.
Please note there is a new area for Reminders (Section IX).
- Call to Order: The meeting was called to order at 6:30 p.m.
- Secretary’s Report: Moved, seconded, and voted to approve the minutes for the January 2026 board meeting as revised.
- Treasurer’s Report:
- For January 2026, the opening balance was $208,163.21, and the closing balance was $214,340.39. This represents an increase from the opening balance of $6,177.18. As of the end of January, we had $34,220.25 in our operating checking account, and $135,429.52 in reserve accounts. (Note: The reserve accounts are a money market account with Premier Bank and a savings account with Royal Credit Union.)
- Moved, seconded, and voted to approve the Treasurer’s Report.
- Committee Reports:
- Welcome Committee: No new residents since the last meeting.
- Recreation Committee: A spring party will likely be planned in the next 1 – 1.5 months. More information to come.
- Management Report: Mike is working with Heather from Merrill Lynch to open a higher yield money market account there with $100,000 and current interest rate ~3%.
- Old Business:
- Electrical Update: An electrician is needed to replace the outlet on 2nd floor and to repair a non-functional outside outlet. Larry will ask Brian Grewe for an electrician’s contact name.
- Basement Activity Room: A committee will be formed to evaluate improvements/updates to the Activity Room. Margie offered to head the committee, and a sign-up sheet has been posted for additional volunteers.
- New Business:
- Insulation Bids: Insulating outside walls is prohibitively expensive and not being pursued at this time.
- Common Area HVAC: Based on the temperature in the common areas during the cold January weather, it appears that the 4th rooftop HVAC unit needs to be replaced instead of going with only 3 units,. Estimates will be requested from three contractors for replacement of the 4th unit. Actual replacement will need to happen during warmer weather as the duct work on the roof will need to be accessed.
- Watermanagement Proposal: Their proposal for our sprinkler system maintenance was accepted, and the motion carried with unanimous board approval. The contract price is $996 for service from May 1, 2026 – October 31, 2026. Repairs would have additional costs involved.
- Common Area Lights:
- It has been determined that it is too costly and involved to remove the atrium table lights from the plant light timers at this time.
- A light outside one of the units has one pane of glass that has cracked. A new fixture that has the same size of glass panes will be purchased to replace the cracked panel and provide extras as needed. A similar light fixture is no longer available.
- Waste Management: A two-year renewal contract was unanimously approved by the board.
- Homeowners’ Comments and Questions:
- A note asked about the ~44 recycling bins in the workroom. Mike is checking with local schools about donating them.
- A note asked about the old signs left in the workroom regarding recycling. They can be disposed of.
- A note asked if there was a plan for the new shelving unit in the workroom. This can be evaluated with the activity room update.
- A note asked about our recycling bins in comparison to another facility with 69 units. Since we have vents in the garage, it may work to keep the lids open on the recycling bins to allow easier access for residents. We can try it and see if there’s an odor issue (likely there won’t be in the winter) and re-evaluate as needed.
- A homeowner had a question about the use of space heaters in the common areas while we are currently without the 4th rooftop HVAC unit. Space heaters are OK to use while in the common areas. Please do not leave them there unattended.
- All City Elevator came in early February, and the elevators seem to be functioning better.
- Reminders:
- Shredded paper does not belong in the recycling bins. Please bag it and throw it in the trash.
- Please close the garage door immediately when leaving the garage and when the vehicle’s rear tires cross the trip cord when entering. This will help with utility costs and security.
- Please return carts to their garage location immediately after use. There is currently one black cart missing. If found, please return it to the cart area in the garage.
- Please remember to store items in your garage storage area and not on the curb in front of the storage area. Please refer to the recently distributed updated Rules and Regulations for allowed exceptions. Items not on that approved exception list need to have written approval from the board to be stored outside of the garage storage areas.
- The next board meeting will be Monday, March 9, 2026, at 6:30 p.m. in the Activity Room. This will be a Board only meeting.
- The meeting was adjourned at 7:25 p.m.
